Annual holiday plan and exchanging your holiday bonus for days off by 23 April 2013

Annual holiday plan (by 23 April, 2013)

Holiday schedules for the holiday season 1 June-30 September 2013 should be
made as soon as possible, and you must reach an agreement on your schedule
with your supervisor. Please send Pauliina Pajunen in the administration
office an email listing your days off that your supervisor has confirmed,
on 11 May at the latest. After that, the head of the department will
confirm the holidays.

Annual holidays must be timed so that the largest part of the holiday is
held during the holiday season 1 June-30 September 2013.
There must always be a period of at least ten consecutive weekdays of
annual holiday, and employees who are entitled to 10 days at the most must
take the whole holiday in one block.

Holidays taken outside the holiday season (1 October 2013-31 May 2014)
should be timed so that they do not all coincide in the spring of 2014, so
that the unit's work is disrupted.

Part-time employees should primarily take their holidays as full calendar
weeks. (A part-time employee who works 3 days a week, for example, uses up
5 days off for one week's holiday.)

Exchanging your holiday bonus into days off (by 23 April 2012)

Please fill in the following form to exchange your holiday bonus into days
off together with your supervisor:
http://www.helsinki.fi/henkos/lomake/en/19_exchanging_holiday_pay_for_paid_leave
and deliver it to Pauliina Pajunen (office D238) by the 23 April.

For each workday taken as leave, 4.4% of the holiday bonus will be deducted
from the salary of the month when the holiday bonus is set. Days off in
exchange for holiday bonus must be taken in the same or the following
calendar year. This means that the leave exchanged for holiday bonus in
2013 must be taken before 31 December 2014.

There is a calculator in Alma, with which anyone can check how much it
would cost to exchange their holiday bonus for days off. Link to the
calculator:

Changes to holiday schedules

If changes appear to the holiday plans confirmed by 23 April 2013, you must
notify the department with an absence notification, which must be signed by
your supervisor and handed to Pauliina Pajunen, who will update the HR
systems.

Holiday carried over

You can save the part of your holiday entitlement that exceeds 15 days to
take out in the next five years. This means that you have to take the
holidays saved from year 2013 by 31 December 2018. You should make a
contract about saving days off before your 2013 holiday schedule is
confirmed.

Postponing your holiday

Holidays may have to be postponed for employees who are off work for
disability or on family leave when their annual holiday starts. In such
cases the ordinary holiday must be approved for the same holiday season,
and holidays set for outside the holiday season must be given by 31 May
2014. If it is not possible for the employee to take a holiday at this
time, the postponed days off can be approved up until 31 December 2014, but
in that case, a written agreement must be made.

Old holidays

You can still take old holidays from 2012 up until 31 May 2013.
