Functions for electronic recruitment and international relocation now available in SAP HR

New functions related to recruitment and international relocation have been introduced in the SAP HR system. These functions aim to promote electronic recruitment and to facilitate the processes of international relocation. For recruitment, this is the first step to using electronic procedures in both internal and external recruitment.  The functions for international relocation will facilitate the transition of employees who arrive in Finland from abroad and will simplify arrangements for University of Helsinki employees working abroad and related process management. The functions will be available to both employees and human resources administration.


A new tab in the employees’ SAP HR portal

A new tab entitled Career and development has been created for the employee’s desktop of the SAP HR portal to offer links to recruitment applications, such as the employee profile and the feature for applying for a vacancy. The functions will become available gradually as University units begin to use the electronic recruitment system over the spring and autumn. Employees can already complete their internal applicant profile to apply for vacancies at the University. Detailed instructions will be posted later on Flamma. The recruitment team will also provide related training to unit recruitment officials. In addition, open information sessions on the features designed for internal applicants will be held for all members of the University community. New functions for international relocation

The new functions for international relocation will apply both to employees who move to Finland from abroad and to employees who leave Finland to work elsewhere (excl. work-related travel). When the University of Helsinki recruits an employee from abroad, the system will promptly send instructions to both the recruiting unit and the new employee. In the future, all employees recruited through the electronic recruitment system who are not Finnish nationals or whose country of origin is not Finland will receive a background information form and a welcome package through SAP HR. The previously used background information form and the order form for the welcome package, both based on the e-lomake tool, will no longer be used for international staff.

The SAP HR system has already been used for the past year to store information about the right of international staff to work. In the future, the system will use the information stored to send an automatic notification to the unit and/or employee if any information is missing or the date of expiry of the employee’s right to work is approaching.


The International work link in Self-service functions will replace forms 27, 28 and 29

The functions in the SAP HR system will replace the forms for working abroad. This concerns periods of working abroad, not work-related travel abroad. The latter practices will remain unchanged, which means that travel requests must still be submitted through the SAP Travel portal. Self-service functions in the employees’ SAP HR portal now feature the link International work. Employees can use it to complete a report on working abroad if they are considering that option. The unit and the employee must also conclude a separate agreement on each period of work abroad. Consequently, the International work function has been added to the portal functions of human resources officers, who can use it to begin creating a contract for working abroad. The human resources officer completes the contract form, after which it is processed in the SAP HR system according to the contract process. The SAP HR process will soon replace the forms currently used for this purpose (forms 28 and 29). Please note that the new electronic contract covers both remote work abroad and the completion of independent research work. This means that from now on the contract on telecommuting (form 27) should not be concluded for remote work abroad.

Instructions for the international relocation functions will also be posted on Flamma soon. A training session on the functions will be offered to human resources officers on 24 March. The employee functions will be discussed on 16 April at the session entitled Working Abroad. You can register for these training sessions in Henkka.
