Work plans 2015-2016

Each employee following the 1600-hour work schedule must make a work plan for every term with an outline of which working hours will be used for which duties.
For the teaching-hour plan, you can use the coefficients approved by the department.

THE WORK PLANS MUST BE MADE BY 31.5.2015

Employees should discuss their work plans with their nearest supervisor and the supervisor will approve the work plan, after which the head of the department will confirm it. You can find your nearest supervisor from YPJweb: https://ypj.it.helsinki.fi/upj2006/

SHORT INSTRUCTIONS for the work plans:

1. Log in to the SoleTM system with your primary university user account

Open ‘Work plans’ and select the plan template for year 2015-2016.
If necessary, enter a new amount of total hours and the duration of the plan if it is not the default for academic year 2015-2016.

2. Make your schedule and discuss it with your immediate superior.

Everyone creates their plan in duty categories 11-42.

Please do not forget to describe the contents of your duties and the hours in the field for additional information. You should give the names of courses and describe the makeup of total hours with the help of the planning coefficient.

3. When you are finished with your plan, select the ‘Complete’ state.

4. The Head of the department will sign off on the plans.

Implementing the work plan

The employee is responsible for his or her personal work hours and their allocation for the tasks specified in the work plan. Working time is not tracked as hours or days except for projects where time spent on the project is separately invoiced to the funding source. The aim of the work plan is that the included tasks are carried out in an appropriate manner and that the employee is reachable by students, supervisors and colleagues to the extent required by the duties. If necessary, the supervisor and employee can evaluate the implementation of the work plan and the results of the work in the annual workload system during the academic year.

“Leave” in the annual workload

The contractual regulations on annual workload do not include stipulations for annual leave such as is agreed for other staff. However, the annual workload of 1,600 hours has been calculated so that the employee has an opportunity to be relieved from duties in a manner which is equivalent to taking annual leave. It is the responsibility of the supervisors to make sure that each employee has a genuine opportunity to take time off work.
